Case Study: RFID secures documents destined for shredding

 

Secure destruction of confidential paper records is a top concern for corporations and government agencies alike. Leading waste management company Urban Impact Recycling Ltd. engaged the services of NJE Consulting Inc. to implement a system to track these records from the point of collection to final destruction.

 

Automated Data Collection Using RFID

 

To the best of our knowledge, this is the first application of RFID of this kind anywhere in the world.

 

As custodial staff pick-up confidential materials from customer sites, they record each transfer using a hand-held RFID data-collection device. The materials are transferred from collection bin to wheeled tote, from tote to truck, and, eventually, deposited

RFID ensures that confidential documents destined for shredding end up shredded

RFID-based information collected at each transfer point is used to automatically generate customer invoices and Certificates of Destruction

at Urban Impact’s Secure Warehouse, where they are promptly destroyed. At the Secure Warehouse facility, data from the RFID data-collection device is securely downloaded to Urban Impact’s payment server over an encrypted network.

 

Custom-designed software assembles the data thus collected and issues automated invoices and Certificates of Destruction back to the customer, all with zero administrative effort on the part of Urban Impact staff.

 

Because the RFID system is completely integrated with the Scheduling and Billing system, information such as pick-up routes and work-orders is automatically downloaded to the RFID data-collection devices completely eliminating any need for duplicate data-entry.

Equipment Used

 

The data-collection devices used in this project are the ultra-rugged JETT*RFID devices from Pennsylvania-based Two Technologies Inc. These WindowsCE operating-system devices are specially designed for rugged industrial applications, and can withstand multiple drops to concrete and other harsh conditions. They are equipped with an integrated HF RFID reader and antenna, a full alpha-numeric keypad, touch-screen, and a built-in WiFi network card. All of these features were utilized for maximum ease-of-use for the operator.
